How to Create and Share an ETA Page
An ETA Page lets you share live arrival updates with recipients through a secure, shareable link. Recipients can view the job status and estimated arrival time in real time, helping reduce follow-up calls or messages about arrival updates.
Depending on the options enabled for the ETA Page, recipients may also be able to see the assigned worker for the job and the live map when the worker is on the way or approaching.
Recipients may also be able to confirm they are ready for arrival, add access instructions, or request a different scheduled time from the ETA Page. To learn more, see: What Recipients Can Do on an ETA Page.
There are two ways to create and share an ETA Page with recipients:
- Manual: Create it manually from a job, then copy and share the link yourself.

Automatic: Create and send it automatically by email based on your ETA notification settings.

Create an ETA Page Manually from a Job
Step 1: Go to Dispatch from the main menu.

Step 2: Create a new job or open an existing scheduled job. To learn how to create a job, click here.

Step 3: Select ETA Page, then click Create ETA page.

Step 4: Choose what the recipient can see. You can show the worker name, the live map, both, or neither.

Step 5: Copy the ETA Page link and share it with the recipient.

Set Up Automatic ETA Page Emails
Step 1: Click the dropdown menu next to your profile and select Company. Or, go to Settings at the bottom of the main menu and select Company Settings.

Step 2: Select Job Settings.

Step 3: In ETA Email Notifications, check the box for Send ETA notification to the job's contact email address.

Step 4: Choose when the ETA email should be sent before arrival: 60 min, 30 min, 15 min, or 5 min before arrival.

Step 5: Customize the ETA email template, including the subject and body, or keep the default text.
Supported placeholders: {eta},{company}, {driver}, {title}, {etaPageUrl}.

Step 6 (important): Check the box for Include ETA Page link to add the ETA Page link to the email.

Note: If this option is not checked, the ETA email may still be sent, but it will not include the ETA Page link. If no ETA Page exists yet, Hellotracks will create one automatically when the ETA email is sent.
Step 7 (optional): In ETA Page defaults, choose what new ETA Pages can show by default.
- Check Show worker name to show the assigned worker.
- Check Show live map to show the worker’s location while the worker is on the way to the job.
These defaults apply when a new ETA Page is created. You can still change these options per job.

Step 8: Click Save.

Your ETA email settings are now saved. Next, make sure the job has a contact email address for the ETA email.
Step 9: Go to Dispatch, then create a new job or open an existing scheduled job. To learn how to create a job, click here.

Step 10: Select Job Info.

Step 11: In the Contact section, enter the recipient’s email address in the E-mail field. Then, click Save.

Step 12: Go to the ETA Page tab.
If the ETA Page has not been created yet, Hellotracks will create it automatically when the ETA email is sent based on the selected arrival timing.
You can click Create page now to create the ETA Page earlier, preview it, or share the link manually.
