How to Map Salesforce Case Fields to Hellotracks Jobs

This guide explains how to map Salesforce case fields to the corresponding job fields in Hellotracks.


Before you start: Connect Salesforce in Hellotracks to load the available Salesforce case fields for mapping. To learn how to connect Salesforce, click here.

Step 1: In Salesforce, click the gear icon, then select Setup.

Step 2: Go to Object Manager.

Step 3: In Quick Find, search for Case.

Step 4: Click Fields & Relationships.

Step 5: Review the case fields you want to use for mapping. Click New to add any missing fields.

Examples of default Salesforce case fields used in Hellotracks:

  • Subject - for the Hellotracks job title
  • Description - for the Hellotracks job description / notes
  • Contact Name - for the Hellotracks job contact name
  • Contact Phone - for the Hellotracks job contact phone
  • Contact Email - for the Hellotracks job contact email


Examples of custom fields to create:

  • Address - for the Hellotracks job address / location
  • Job Date - for the Hellotracks job date in YYYY-MM-DD format

Step 6: Go to Case Page Layouts to add the Hellotracks Salesforce case fields you created by modifying an existing layout or creating a new one.

If you are using Salesforce Outbound Messages, ensure the fields used for mapping are also added to Selected Fields in the Outbound Message configuration. To learn how to add them, click here.

Step 7: In Hellotracks, go to Settings and select API & Integrations.

Step 8: Under Salesforce, choose which Salesforce case fields should fill each Hellotracks job field.

Step 9: Click Save mappings.


Once configured, creating or updating a case in Salesforce applies the mapped fields to the job in Hellotracks.
