How to Map HubSpot Ticket Fields to Hellotracks Jobs

This guide explains how to map HubSpot ticket fields to the corresponding job fields in Hellotracks.

Before you start: Connect HubSpot in Hellotracks to load the available HubSpot fields for mapping. To learn how to connect HubSpot, click here.

1. Manage HubSpot Ticket Fields

Step 1: In HubSpot, click the gear icon in the upper right corner.

Step 2: In the left menu, go to Properties, then select Ticket properties.

Step 3: Review the ticket fields you want to use for mapping. Click Create property to add any missing fields.

Default HubSpot ticket fields:

• Ticket name - for the Hellotracks job title
• Ticket description - for the Hellotracks job description / notes

• Ticket owner  - for the Hellotracks job assignee based on a matching member

  
  

Examples of fields to create as new properties:

• Job date - for the Hellotracks job date in YYYY-MM-DD format
• Job window start - for the Hellotracks job time window start in HH:mm format
• Job window end - for the Hellotracks job time window end in HH:mm format
• Job address - for the Hellotracks job address / location

Step 4: After reviewing the default fields and creating any missing fields, click Go to Tickets settings to edit the ticket form.

Step 5: Click Customize the 'Create Ticket' form to add the Hellotracks HubSpot ticket fields you created.

2. Map HubSpot Ticket Fields in Hellotracks

Step 6: In Hellotracks, go to Settings and select API & Integrations.

Step 7: Under HubSpot, choose which HubSpot ticket fields should fill each Hellotracks job field.

Step 8: Click Save mappings.

Once configured, creating or updating a ticket in HubSpot applies the mapped fields to the job in Hellotracks.
